Checklists in Project for the web – Capturing details within a task

With the release of the Checklists feature in Project for the web, users now have the ability to track work in smaller pieces that are attached to a task, with the option of turning checklist items into tasks. This feature allows the specific resource assigned to a project the ability to track work in smaller pieces without cluttering the Project Manager’s schedule.  We see Microsoft continuing to add functionality to Project for the web that brings better detail and collaboration to the tool. In this blog we will give a step-by-step approach on how to use checklists, one of the latest additions to Project for the web.

Adding a checklist

As the resource assigned to a task, you can add checklist items to a task by doing the following:

From the task details pane, you can add checklists as shown below.

Checklists – Things to Know

Here are a few things to keep in mind when creating a checklist item in Project for the web:

  • Make a checklist item a task: The project manager may determine that a checklist item should be converted into a task. This is easily done by hovering over the checklist where you’ll see the “Make this a new task” button, as seen below in Figure 2. Click on the button and your checklist item will automatically be converted into a task.

  • The new task will be placed directly under the existing task and will work like any other task in the project, as seen below in Figure 3.
  • Deleting a checklist item: A checklist can be removed at any time. Hovering over the checklist displays the trashcan icon as shown in figure 2.

  • Limits: There can only be 20 checklist items on a task.
  • Marking checklist items complete does not mean the task is complete: It’s important to remember that just because you’ve checked off the item, does not mean that the task has been completed.  You must take action to reflect that completed task.
  • Impact to tasks: Other than providing additional information on the parent task, the checklist items should not make any impact on the parent task.

Conclusion

In summary, these steps for utilizing the checklist feature provide another easy way for a project team to utilize Project for the web to keep track of details without cluttering the project plan.
